Administrative Coordinator

Salary: £25,000 per annum, dependant on experience

Contract: Permanent, Monday to Friday, 36.25 hours per week

Reporting to: As Built SAP Team Manager

Location: Remote (United Kingdom)

AES Sustainability Consultants Ltd is an award-winning consultancy firm that works with some of the leading UK housebuilders and developers, delivering high quality energy and sustainability advice and assessments to the construction and property industries.

Job Role

We are looking to recruit an enthusiastic, self-motivated Administrative Coordinator to join our As-Built team.  Main tasks include maintaining accurate and up-to-date data on our in-house data platform, requesting and filing evidence for QA audits and ensuring that Energy Performance Certificates are lodged and uploaded to various data platforms. This is a very busy role that would suit candidates who thrive under pressure and enjoy working as part of a team.

The successful candidate will be a team player with an exceptional ability to multi-task and manage a busy and time-critical schedule of work. Excellent attention to detail is essential as the role requires a high degree of accuracy and organisational skills. As a key point of contact for many of our clients it is essential that you portray yourself as professional and friendly over the phone and via e-mail.

Key Responsibilities

  • Oversee the team’s shared email inbox, ensuring that all messages are organised, relevant files are saved, and tasks are promptly assigned to the appropriate team members.

  • Set up new jobs, clients and users on our in-house platform, AES HUB.

  • Maintain trackers to accurately reflect the status of a job

  • Process As-Built EPC evidence and prepare SAP 10 databases

  • Requesting and filing evidence for QA audits

  • Liaise with clients to ensure all required As-Built SAP documents are available

  • Maintain and update team and project trackers with all relevant information as it comes in, keeping project data accurate and accessible.

  • Prepare and print photo evidence reports upon completion, notifying the appropriate team members to ensure a smooth workflow.

  • Upload documents to AES HUB

Key Competencies

Essential

  • General administrative support to team members, management and admin teams where required.

  • Be computer literate and fully conversant with Microsoft Office.

  • Have excellent communication skills, verbal and written, and able to maintain a positive, professional attitude when under pressure.

  • Have an exceptional ability to multi-task.

  • Be able to self-manage a busy and time-critical schedule of work.

  • Be able to input data efficiently and with a high level of accuracy.

  • Be a strong team player.

Desirable

  • Experience or familiarity with the building or construction sector would be an advantage but is not essential.
